Terms and Conditions
1. Introduction
These Terms & Conditions (“Terms”) govern all services provided by Assist Mate. By engaging our services, the client agrees to these Terms in full.
2. Service Scope
We provide services including, but not limited to:

Travel planning and booking
-
Tour coordination
-
Visa, migration, and documentation assistance
-
Consultation services
-
Related administrative support
We do not guarantee visa or migration approvals. Final decisions are made solely by the relevant government authorities.
PAYMENTS, FEES & REFUND POLICY
3. Payment Requirements

All service fees must be paid before any work begins.

Prices are subject to change without prior notice, except where a quote has already been issued.
4. Strict No-Refund Policy

Once the first email, consultation, communication, or document is sent by us, no refund will be issued under any circumstances.

This policy applies regardless of changes of mind, delays, personal reasons, or external circumstances.

No exceptions will be made.
5. Government & Third-Party Fees

Government fees (visa, immigration, documentation), airline tickets, accommodation, and other third-party charges are non-refundable and outside our control.

Any changes, delays, or denials by third-party providers do not entitle the client to a refund of Agency fees.
TOUR BOOKINGS & CANCELLATION POLICY
6. Tour Booking Confirmation
A booking is confirmed once payment is received. Availability cannot be held without payment.
7. Cancellation Rules

The Agency does not offer refunds for any tour cancellation for any reason.

If you can no longer attend a tour, the only available option is to transfer your booking to another person.

It is the client’s responsibility to find a replacement person if needed.
8. Changes by Suppliers
If a tour operator, airline, or supplier makes changes (schedules, routes, inclusions), the Agency is not responsible and no refund of Agency fees will be issued. The supplier’s own policies will apply.
CLIENT RESPONSIBILITIES
9. Accuracy of Information
You are responsible for providing complete, truthful, and accurate information for all applications and bookings. The Agency is not liable for outcomes resulting from incorrect or incomplete information.
10. Documentation & Deadlines
You must provide all required documents on time. Delays in document submission may affect visa results or travel arrangements and do not entitle you to refunds.
11. Travel Requirements
You are responsible for:

Meeting passport validity requirements

Securing required visas
-
Vaccinations or health documents
-
Complying with local laws of the destination country
LIABILITY & LIMITATIONS
12. No Guarantee of Outcome
For migration or visa applications, the Agency provides professional assistance but cannot guarantee approval.
13. Limitation of Liability
The Agency is not responsible for:

Decisions made by immigration authorities
-
Delays, cancellations, or changes by third-party providers
-
Losses caused by circumstances beyond our control (e.g., weather, strikes, political events)
Our liability is limited to the value of services paid directly to the Agency, excluding third-party fees.
CONFIDENTIALITY & PRIVACY
14. Privacy
All personal data is handled securely and only used for service-related purposes. Information may be shared with government bodies or suppliers strictly as required for your application or booking.
GOVERNING LAW
15. Jurisdiction
These Terms are governed by the laws of Australia/NSW. Any disputes shall be resolved in the courts of the same jurisdiction.
16. Acceptance of Terms
By paying an invoice, submitting documents, or requesting services from the Agency, you acknowledge and accept these Terms & Conditions.
